Linkia for IT and Advertising (“Linkia”, “we”, “us”, or “our”) operates the Linkia Odoo Attendance mobile application (the “App”). This Privacy Policy explains how we collect, use, and protect your information when you use our App.

1. Information We Collect

The App collects the following data solely for the purpose of employee attendance verification:

• Facial Photographs: The App captures a single photograph of your face during each check-in or check-out event. See Section 2 for full details on face data handling.
• Location Data: The App collects your GPS coordinates (latitude and longitude) at the time of check-in/check-out to verify you are within an authorized work location. Location is accessed only when you actively use the check-in feature.
• Server Configuration: The App stores your Odoo server URL locally on your device using SharedPreferences.

2. Face Data — Collection, Use, Disclosure, and Retention

Because the App uses facial image data, we provide this dedicated section to clearly and completely describe our practices regarding face data:

2.1 What Face Data We Collect

When an employee taps “Check In / Out,” the App activates the device’s front-facing camera and uses Google ML Kit (running entirely on-device) to detect that a human face is present in the camera frame. Once a face is detected, the App automatically captures a single standard JPEG photograph. The App does not create, compute, store, or process any biometric identifiers, facial geometry maps, faceprints, facial feature vectors, or any mathematical representations of facial features. The only face data collected is a standard photographic image.

2.2 How We Use Face Data

The captured facial photograph is used for one single purpose: employee identity verification for attendance recording. The photograph is transmitted via encrypted HTTPS connection to the employer’s own Odoo server, where it is compared against the employee’s stored HR profile photo using server-side image comparison. If the identity is verified, the attendance record (check-in or check-out) is created in the Odoo HR Attendance module. The facial photograph is used solely for this single verification transaction and for no other purpose.

2.3 Third-Party Sharing of Face Data

Face data is not shared with any third parties. The facial photograph is transmitted exclusively and directly from the App on the user’s device to the employer’s own Odoo server. Linkia does not operate any intermediary servers, cloud services, analytics platforms, or data processing facilities that receive, process, or store face data. Google ML Kit is used solely for on-device face detection (determining whether a face is present in the camera viewfinder); no facial images, facial data, or biometric information of any kind is transmitted to Google.

2.4 Where Face Data Is Stored

On the device: The App does not store facial photographs on the user’s device. The captured photo is held only in volatile (temporary) memory during the brief HTTPS transmission to the Odoo server. It is not saved to the device’s photo library, app sandbox, cache directory, or any form of persistent local storage. The image data is released from memory immediately after the API call completes, whether the call succeeds or fails.

On the server: Storage and management of attendance records, including any associated photographs, occurs entirely on the employer’s own Odoo server infrastructure. Linkia does not have access to, control over, or visibility into the employer’s server or the data stored on it.

2.5 Face Data Retention

On the device: Zero retention. The facial photograph exists only in volatile memory for the duration of the network transmission (typically 1–5 seconds) and is immediately discarded.

On the server: Data retention is determined entirely by the employer’s Odoo server configuration and their organizational data retention policies. Linkia does not control, access, or manage server-side data retention. Employees should consult their employer’s HR department or data privacy officer for details on how long attendance records and associated images are retained.

3. How We Use Your Information

• To verify employee identity via facial photograph comparison (see Section 2 above)
• To verify the employee’s physical presence at an authorized work location via GPS coordinates
• To record attendance check-in and check-out times in your organization’s Odoo HR system

4. Data Storage & Processing

All attendance data (photographs, GPS location, timestamps) is sent directly to your organization’s self-hosted or cloud-hosted Odoo server via encrypted HTTPS connections. Linkia does not operate any intermediary servers, cloud storage, or third-party data processing services. Your data is processed and stored entirely within your organization’s Odoo infrastructure.

5. Third-Party Services

• Google ML Kit (Face Detection): Used solely for on-device face detection — determining whether a human face is present in the camera frame so the photo can be automatically captured. Runs entirely on-device with no network calls to Google. No facial images, biometric data, or personal information of any kind is transmitted to Google. See Google ML Kit Terms.

6. Data Sharing

We do not sell, trade, rent, or share your personal data with any third parties. All data flows exclusively between the App on your device and your organization’s Odoo server. No face data, location data, or attendance records are shared with Linkia, Google, or any other third party.

7. Data Retention

The App does not retain facial photographs, location data, or attendance records on the device after transmission to the Odoo server. Local persistent storage is limited to the Odoo server URL and the most recent attendance status. Data retention on the Odoo server is governed entirely by your organization’s data retention policies.

8. Security

Communication between the App and your Odoo server uses HTTPS encryption (TLS). We recommend organizations configure their Odoo servers with valid SSL certificates and follow industry security best practices to protect employee data.

9. Your Rights

You may request access to, correction of, or deletion of your personal data by contacting your organization’s HR department or Odoo system administrator. As the App connects to your organization’s own server, data management is primarily governed by your employer’s data protection policies.

10. Children’s Privacy

The App is designed for use by employees in a workplace setting and is not intended for use by children under the age of 16.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be reflected by updating the “Last updated” date at the top of this page.
